Related MinnState Board Procedure: 3.29.1 College and University Transcripts, 2.9.1 Financial Aid Satisfactory Academic Progress
Purpose: To help students progress through program completion in the most time- and cost-efficient manner.
Part 1: Courses repeatable for credit. Courses can be designated to allow students to attempt to earn credit more than once. Examples may include music lessons and theatre production and performance.
Subpart A. Designation. The course description and curriculum record will indicate when a course can be completed for credit more than one time.
Subpart B. GPA (Grade Point Average). Each attempt of a repeatable course will count in the student’s GPA calculation until the maximum number of attempts has been reached. When the number of course attempts exceeds the number of times a student can receive credit, the credits and highest grades in all of the courses, up to the maximum allowed, will be counted in the credit and GPA calculation.
- Hierarchy of grades. Grades will be counted in the following order: A, B, C, P, D, NC, NA, NW, F, FN, FW. Grades of AU, I, NA, NC, NW, and W are excluded from the GPA calculation.
Subpart C. Completion rate. For the purposes of Academic and Financial Aid Satisfactory Academic Progress, all attempts, excluding audited courses, will be considered credits attempted in the calculation of the student’s completion rate. Only passed credits, up to the maximum allowed, will be considered complete.
- Exceptions.
- Developmental courses completed Fall 2021 and later will be excluded from the calculation of the student’s completion rate.
- Spring 2020 withdrawals completed after the COVID pandemic declaration will be excluded from the calculation of the student’s completion rate.
Subpart D. Additional repeats. Once the maximum number of repeat attempts has been reached, students can repeat a course an additional two times without earning additional credit. In such circumstances, all attempts and their grades will remain on the student’s transcript, but only the highest grades will be counted as earned credits and apply to the student’s grade point average.
Subpart E. Exceptions.
- Current PSEO (Postsecondary Education Options) students cannot repeat any course in which they previously earned a grade of A, B, C, D or P while they are enrolled as PSEO students.
- Once the student has earned the maximum allowed credits, financial aid will pay for one repeat of courses that a student has previously earned a grade of A, B, C, D or P.
- Veterans, Service members and dependents who receive education benefits are subject to the repeat polices of the Veterans Administration and/or the US Department of Defense.
Part 2. Courses not repeatable for credit. Unless otherwise indicated in the course description, a student can earn credit in a course only one time.
Subpart A. Repeats. A student can repeat a course for any reason twice (a maximum of three attempts).
Subpart B. GPA. The highest grade achieved in the courses will be counted in the GPA calculation.
- Hierarchy of grades. Grades will be counted in the following order: A, B, C, P, D, NC, FN/FW/F. Grades of I, NA, NC, NW, and W are excluded from the GPA calculation.
- Exception to highest grade calculation. When a student repeats a course because the prior attempt’s years as a valid prerequisite has expired, the most recent course and grade will count in credit and GPA calculations.
Subpart C. Completion rate. For Academic and Financial Aid Satisfactory Academic Progress, all attempts, excluding audited courses, will be considered credits attempted in calculating the student’s completion rate. Only courses with grades of A, B, C, D and P will be considered complete.
- Exception.
- Developmental courses completed Fall 2021 and later will be excluded from the calculation of the completion rate.
- Spring 2020 withdrawals completed after the COVID pandemic declaration will be excluded from the calculation of the student’s completion rate.
Subpart D. Exceptions.
- PSEO students cannot repeat any course in which they previously earned a grade of A, B, C, D or P while they are PSEO students.
- Financial aid recipients who have previously earned a grade of A, B, C, D or P in a course may receive financial aid for one repeat of the course. Under this exception only, a course with a grade of W is not considered an attempt.
- Veterans, Service members and dependents who receive education benefits are subject to the repeat polices of the Veterans Administration and/or the US Department of Defense.
Part 3. Repeating more than the maximum allowed.
Subpart A. A student who wishes to repeat a class more than the maximum allowed may submit an academic petition to request an exception. Allowing an additional repeat does not impact financial aid restrictions described in Part 2, Subpart D.
Subpart B. Individuals whose repeat attempts include one or more audit classes do not require special permission to exceed the repeat maximum but will require registration override assistance.
