5.13 Web Publishing

Purpose: The college website is Normandale’s broadest reaching publication and plays a central role in enhancing the college’s reputation with all constituents. The college has established policies and guidelines to meet the goals of publishing content that is accessible, professional, consistent, and reflects Normandale’s mission and brand. The college has designated the Web Governance Work Group as the advisory body for web strategy and web publishing. 

Part 1: Definitions

  1. Web Publishing. The website www.normandale.edu is the primary website of the college. This policy pertains to the college’s external website that can be accessed by anyone with access to the internet. 
  2. Domain Name. The college's primary domain name is www.normandale.edu. Sub-domains may exist such as catalog.normandale.edu. This policy pertains to Normandale's sub-domains as well. 
  3. Web Governance Work Group. The Web Governance Work Group is an advisory body with an interdepartmental membership selected for their subject matter expertise and stakeholder status.  
  4. Content Providers. Employees designated as contributors or approvers to develop, author, update, and, if assigned, approve designated web content for their content areas on the primary Normandale Community College website. 
  5. Ticketing System. Content providers submit requests to update website content through a ticketing system that routes the requests to the Marketing Communications Department for implementation.  

Part 2: Responsibilities

Subpart A: Web Governance Work Group. This work group provides input on and proposes updates to the website’s appearance and functionality, reviews proposals from staff, ensures content is up to date, and its members serve as stewards of Normandale’s brand as it pertains to the website. 

Subpart B: Marketing Communications. The Marketing Communications Department is responsible for the presentation and accessibility of content on Normandale’s website. Marketing Communications is responsible for establishing, maintaining, and enforcing adherence to various style guides. Marketing Communications is also responsible for maintaining content on any secondary or sub-domain sites. It is also responsible for training content providers, and managing permissions.  

Subpart C: Information Technology Services (ITS) is responsible for domain name registration and certificates.   

Subpart D: System Office. The Minnesota State Colleges and Universities System Office is responsible for the establishment and enforcement of policies that relate to providing stable, functional, and secure internally hosted websites which include server configuration, security configuration, etc.

Subpart E: Content Providers. Content Providers. Content providers are comprised of contributors and approvers. They are responsible for receiving training and following established guidelines. Content contributors are responsible for providing accurate and up-to-date information for their content area. Approvers are responsible to perform a review the content provided by content contributors for accuracy and quality. After the content is reviewed and approved, content contributors either make changes directly on the website or submit the request to the Marketing Communications Department through the ticketing system.

Date and Subject of Revisions: 2024 updates were made to language including updating committee terms. Clarity was added to accessibility of information and the role of Marketing and ITS in the process.
