2.15 Emergency Student Contact

Purpose: To provide a process for notifying students about family-related or other emergencies at a third party’s request.
Part 1: Definitions
- Family Emergency is defined as an extreme crisis such as a death in the family, injury requiring hospitalization, or an emergency contact from child care facilities.
- Other Emergency is defined as a request from a law enforcement officer, dispatcher, or other third party and will be relayed to the student if the situation constitutes an emergency.
Part 2: Policy Regarding Student Emergency Notifications
Subpart A: Required Information. In person requests and telephone requests must include the requesting party’s name, the requesting party’s contact phone number, student needing to be contacted, relationship to the student, and the nature of emergency.
Subpart B: Right to Deny Notification. The Public Safety Department reserves the right to deny any request where the Public Safety Officer determines the situation does not constitute an emergency defined in Part 1 or the requesting party refuses to provide required information in Part 2 Subpart A.
Subpart C: Attempt to Notify
- Public Safety Officers will attempt to notify an enrolled student in the event of an emergency as defined in Part 1.
- Emergency student contact requests made to any other staff or faculty member other than a Public Safety Officer shall have the requesting party referred to the Public Safety Department.
- Due to scheduling issues and student attendance, the Public Safety Department cannot guarantee that the student will be notified of the emergency.
Subpart D: Data Privacy
- In accordance with data privacy, the location of the student and/or the student’s class schedule will not be provided to the requesting person.
- In the case of an in-person request, the requesting party will not be permitted to accompany the Public Safety Officer in making the emergency notification.
- The requesting party may be notified whether the message was delivered, but they may not be provided any information about the student’s class attendance.
